First things first - the foundation. I'm going to show you the exact Inbox Health Triangle that we use in all of our companies.
This is where most companies do everything wrong. On average, I have two calls a day where the only thing I fix is their warm-up settings, and their campaigns start performing again. I guarantee if you haven't been doing this for a long time, you're probably doing this wrong.
Understanding the Definition of Spam
If we want to land in the primary inbox, we need to understand what gets us into spam. According to Google and Microsoft, spam is defined as emails that are:
- Sent in bulk — Mass sending patterns trigger spam filters
- Unsolicited — Recipients didn't opt-in to receive them
So what do we do? We set up very well-diversified domains and emails that don't connect to one another, and we send very low volume from each so it doesn't look like we're sending bulk emails. For the unsolicitation part, we apply specific tactics to our cold email scripts and campaign management.
The Three Types of Email Account Setup
Pre-Warmed Accounts
Instantly has already set up domains, emails, and warmed them for 21+ days.

The name of the game is diversification. You want to become a hydra—if someone chops one head off, two heads pop out. Your system should be invincible. If one account fails, that's not your weak link that makes everything break. You have another link. The chain is still intact.
Warm-Up Settings That Actually Work
Pay attention to the flame icon on your accounts. A green flame means you're in the regular warm-up pool. A blue flame means you're in the premium warm-up pool—which is where you want to be.

Think of your email account like a credit score. When you're a teenager with your first credit card, banks don't trust you yet. You need to buy small things, pay bills on time, and build your credit. Email accounts work the same way.
The Seesaw Method is how we maintain reputation after launching campaigns:
"Let's say I'm sending 50 emails per day total—25 in campaigns and 25 in warm-up. If I get 1 reply from campaigns, I need 14 replies from warm-up to maintain a 30% overall reply rate. The math: 30% of 50 emails = 15 replies needed. Campaign provides 1, warm-up must provide 14."
— This is one of the most important premises of maintaining accounts long-term.
Never Spike Your Sending Volume
Don't go from sending 50 emails in warm-up to sending 100 emails total because you added 50 to campaigns. This is where 90% of companies stumble. They treat warm-up like a checkbox—finish once and forget about it. That's not how you'll keep your system running long-term.
Your campaigns are exactly like getting a tank into the field. There's a specific checklist: start the engine, hit the clutch, put it in gear, then press gas. In cold email campaigns, that translates to:

Subject Lines That Work
Your subject lines should look like they were sent internally within the company. Use things like:

- Unsubscribe Link in Header: Disabled (destroys deliverability)

The #1 Deal Breaker: Slow Replies
Replying slowly is like ignoring a qualified customer who walks into your store because you were too busy organizing shelves. Speed is king. As soon as someone replies, you want to be quick and deliver value in a very human way.
To Use AI or Not?
My honest recommendation: don't use AI for replies. You're so close to the deal. You don't want robot mistakes going through or bland responses. It's worth having a human stay in touch until they hop on a call.
"We had a client with 60 leads in two months who closed only 2 deals. The problem? Every time someone replied 'yes, send me more details,' they just sent a templated copy-paste message. The solution: instead of sending templates immediately, we had them ask a question first to start a real conversation. Conversion skyrocketed."

Always click "Reply All" instead of just "Reply"—this replies to everyone in the thread (like if they CC'd someone). Use the categorization feature to build your hot list of interested leads. Whenever you want to close a client, hit everyone in the "Interested" category first. If you don't have a hot list, you're leaving money on the table every month.
Important: Never forward responses to your primary account—this shows Google/Microsoft the account you're impersonating. Keep conversations within the Unibox until someone books a call and opts in.

Inbox Placement Tests: The Real Truth
Here's something most gurus won't tell you: inbox placement tests are somewhat irrelevant. Why? Because inboxes are now highly personalized. Google and Microsoft know what each user reacts to:
- If someone replies to lots of cold emails, they're more likely to see cold emails in primary
- If someone reports cold emails as spam, they'll rarely see them regardless of your reputation
- Different companies have different spam filters checking for different things
The Better Method: Compare newly created, fully diversified accounts against your older accounts. Contact minimum 500 people with each batch. Monitor lead rate, not just deliverability scores.
