20M+ Emails Sent

If your cold emails are still landing in spam, it might not be your copy, offer, or list. It might actually be your system. In this comprehensive guide, I'm handing over the exact system we use internally to get massive replies, book thousands of meetings, and maintain an incredibly low spam complaint rate using Instantly AI.

Most Instantly AI tutorials just show you how to send emails. This guide will show you how to build a machine that keeps working and compounding over time. We're covering domain setup, email account connections, optimal warm-up settings, lead management, and how to automate everything so you can put it on autopilot.

What You'll Learn in This Guide
  • How to set up domains and email accounts for maximum deliverability
  • The exact warm-up settings that keep accounts alive for 2+ years
  • The "Seesaw Method" for maintaining sender reputation
  • How to write cold email scripts that bypass spam filters
  • The Unibox strategy for closing more deals
  • Advanced automation tactics to scale hands-free

The 4-Part Framework: Base, Army, Intel & Scale

Building the Base: Domain & Email Account Setup

First things first - the foundation. I'm going to show you the exact Inbox Health Triangle that we use in all of our companies.

The Inbox Health Triangle
Inbox Health
Volume Control
Domain Age
Proper Warm-Up

This is where most companies do everything wrong. On average, I have two calls a day where the only thing I fix is their warm-up settings, and their campaigns start performing again. I guarantee if you haven't been doing this for a long time, you're probably doing this wrong.

Understanding the Definition of Spam

If we want to land in the primary inbox, we need to understand what gets us into spam. According to Google and Microsoft, spam is defined as emails that are:

  • Sent in bulk — Mass sending patterns trigger spam filters
  • Unsolicited — Recipients didn't opt-in to receive them

So what do we do? We set up very well-diversified domains and emails that don't connect to one another, and we send very low volume from each so it doesn't look like we're sending bulk emails. For the unsolicitation part, we apply specific tactics to our cold email scripts and campaign management.

The Three Types of Email Account Setup

Pre-Warmed Accounts

Instantly has already set up domains, emails, and warmed them for 21+ days.

Best for: Quick launches, testing, clients who need results fast.

Done-For-You Setup

You provide the domain name and desired persona. Instantly handles DNS, profiles, and connections.

Best for: Those without technical expertise or team bandwidth.

The Hydra Strategy

The name of the game is diversification. You want to become a hydra—if someone chops one head off, two heads pop out. Your system should be invincible. If one account fails, that's not your weak link that makes everything break. You have another link. The chain is still intact.

Warm-Up Settings That Actually Work

Pay attention to the flame icon on your accounts. A green flame means you're in the regular warm-up pool. A blue flame means you're in the premium warm-up pool—which is where you want to be.

Here are our recommended warm-up settings:

Optimal Warm-Up Configuration
  • Daily Campaign Limit: Start at zero when warming up for the first time
  • Min Waiting Time: Above 10 minutes between sends
  • Daily Warm-Up Limit: Up to 50 emails per day during initial warm-up
  • Reply Rate Target: 30-40% (mimics normal human email behavior)
  • Increase Per Day: 4 emails per day gradual increase
  • Open Rate: Around 80% | Spam Protection: Always 100%
  • Custom Tracking Domain: Don't use "inst"—use unique hosts like "view" or "media"

The Seesaw Method (Critical!)

Think of your email account like a credit score. When you're a teenager with your first credit card, banks don't trust you yet. You need to buy small things, pay bills on time, and build your credit. Email accounts work the same way.

The Seesaw Method is how we maintain reputation after launching campaigns:

"Let's say I'm sending 50 emails per day total—25 in campaigns and 25 in warm-up. If I get 1 reply from campaigns, I need 14 replies from warm-up to maintain a 30% overall reply rate. The math: 30% of 50 emails = 15 replies needed. Campaign provides 1, warm-up must provide 14."

— This is one of the most important premises of maintaining accounts long-term.

Never Spike Your Sending Volume

Don't go from sending 50 emails in warm-up to sending 100 emails total because you added 50 to campaigns. This is where 90% of companies stumble. They treat warm-up like a checkbox—finish once and forget about it. That's not how you'll keep your system running long-term.

2
Deploy Your Army: Campaigns, Scripts & Leads

Your campaigns are exactly like getting a tank into the field. There's a specific checklist: start the engine, hit the clutch, put it in gear, then press gas. In cold email campaigns, that translates to:

1
Clean Leads
Verified, targeted list
2
Compelling Copy
Human-sounding scripts
3
Strategic Timing
Optimal send schedule
4
Proper Settings
Seesaw warm-up balance

Lead Quality Checklist

Never upload just any CSV. Before importing leads, verify each of these criteria:

Lead Upload Checklist
  • Websites fit your ICP and actually match companies you can sell to
  • Websites actually load and exist (no dead links)
  • Prospects still work at these companies (not retired or moved)
  • Contact titles can and will be interested in your offer
  • Emails are validated and not spam traps
  • List is cleaned (no "Nike Sports LLC" formatting errors in company names)

The 8-Part Cold Email Script Structure

Here's the exact framework we use for high-converting cold emails:

Cold Email Script Framework
1 Greeting + First Name (Hey/Hi/Hello variations)
2 Icebreaker (personalized line based on research)
3 Question Hook (e.g., "Are you looking to improve X?")
4 Introduction + Offer (who you are, what you do)
5 Case Study (social proof with specific results)
6 Call to Action (soft ask, not pushy)
7 Signature (name, title, company)
8 PS + Opt-Out (additional value or easy opt-out)

Subject Lines That Work

Your subject lines should look like they were sent internally within the company. Use things like:

  • {{first_name}} - quick question
  • thoughts on this?
  • {{first_name}} - re: growth

Avoid: Anything that looks like email marketing or ChatGPT-generated generic copy. It must look human every single time.

Spin Syntax: Become Untraceable

Use spin syntax to make every email unique: {random|Hi|Hey|Hello}. Add at least one spin per paragraph—never less. When done correctly, every email you send looks different. You become a ninja: impossible to trace, impossible to skip-trace. Google and Microsoft can't judge your emails as spammy because all of them are different.

Campaign Settings We Use

  • Open Tracking: Disabled (track lead rate, not open rate)
  • Link Click Tracking: Disabled
  • Send as Text Only: Enabled (no images unless strategic)
  • Time Gap: Above 10 minutes minimum, 3+ minutes random additional
  • Provider Matching: Disabled (doesn't make enough difference)
  • Unsubscribe Link in Header: Disabled (destroys deliverability)
3
The Unibox: Where Deals Actually Happen

Your campaigns get the door open. The Unibox is what actually brings conversations closer to deals. This is where we end all automations and bring in human connection—we're too close to the money to have robots taking over.

The Reply Loop

1
Hook
Campaign generates reply
2
Deliver Value
Personalized response
3
Follow Up
Until yes or no
4
Close
Book the meeting

The #1 Deal Breaker: Slow Replies

Replying slowly is like ignoring a qualified customer who walks into your store because you were too busy organizing shelves. Speed is king. As soon as someone replies, you want to be quick and deliver value in a very human way.

To Use AI or Not?

My honest recommendation: don't use AI for replies. You're so close to the deal. You don't want robot mistakes going through or bland responses. It's worth having a human stay in touch until they hop on a call.

"We had a client with 60 leads in two months who closed only 2 deals. The problem? Every time someone replied 'yes, send me more details,' they just sent a templated copy-paste message. The solution: instead of sending templates immediately, we had them ask a question first to start a real conversation. Conversion skyrocketed."

What to Send (and What NOT to Send)

DON'T Send

  • "Circling back on this..."
  • "Did you see my email?"
  • "Can we talk at X time?"
  • Generic bumps
  • Pushy sales tactics

Follow-Up Timing

Every 3-4 days initially, increasing buffer over time. Up to 6 follow-ups. Diminishing returns after that.

The Hot List Strategy

Always click "Reply All" instead of just "Reply"—this replies to everyone in the thread (like if they CC'd someone). Use the categorization feature to build your hot list of interested leads. Whenever you want to close a client, hit everyone in the "Interested" category first. If you don't have a hot list, you're leaving money on the table every month.

Important: Never forward responses to your primary account—this shows Google/Microsoft the account you're impersonating. Keep conversations within the Unibox until someone books a call and opts in.

4
Advanced Tactics & Scaling the Machine

Now that you've got campaigns live, let's talk about maintenance and scaling—your underground operations for making the machine run without you.

Inbox Placement Tests: The Real Truth

Here's something most gurus won't tell you: inbox placement tests are somewhat irrelevant. Why? Because inboxes are now highly personalized. Google and Microsoft know what each user reacts to:

  • If someone replies to lots of cold emails, they're more likely to see cold emails in primary
  • If someone reports cold emails as spam, they'll rarely see them regardless of your reputation
  • Different companies have different spam filters checking for different things

The Better Method: Compare newly created, fully diversified accounts against your older accounts. Contact minimum 500 people with each batch. Monitor lead rate, not just deliverability scores.

Advanced Deliverability Settings

  • AI Lead Filtering (Unlikely to Reply): Set to "Send Last" — build reputation first with likely responders
  • Hostile Prospects: Set to "Send Last" — Instantly monitors hostile prospects across all users
  • ESP Matching: Off — doesn't make enough difference, can throttle sending
  • Server & IP Rotation: Keep on "Pro" if you're on the Pro plan

Automation: Clone Yourself

Put everything on autopilot with automation for:

Lead Finding
Auto-scrape new prospects
Lead Scoring
Prioritize best fits
Lead Validation
Verify before upload
Auto Upload
Push to campaigns
Campaign Management
Auto-adjust settings
Warm-Up Balance
Seesaw method on autopilot
Performance Monitoring
Alert on bad results
Scaling Good Campaigns
Double down on winners
Key Takeaways
  • Diversify everything—become a hydra that can't be killed
  • Use the Seesaw Method to maintain 30%+ reply rate
  • Never spike sending volume—gradual changes only
  • Use spin syntax: minimum 1 per paragraph
  • Disable open tracking—track lead rate instead
  • Reply fast with value—no generic "circling back" bumps
  • Build and nurture your hot list religiously
  • Automate everything you can for hands-free scaling
